The Institute of Contemporary Art/Boston is seeking a Manager of Staff Engagement to join the newly created Culture and Equity department. This role will be responsible for promoting a culture of continuous learning by creating, supporting, and deploying strategies to enhance people, processes, and performance that further the ICA’s goals of an inclusive and equitable work environment. The Manager of Staff Engagement will have a focus on internal communications and the development and implementation of a robust employee engagement strategy to provide employee training and leadership development programs within the organization under the supervision of the Senior Director of Culture and Equity. The Manager of Staff Engagement will also support the Human Resources function within the Culture and Equity department.

The Manager of Staff Engagement contributes to a culture of collaboration, community, and respect centered on Diversity, Equity, Accessibility, Inclusion, and Belonging (DEAIB) and will maintain a productive, high-performance and collaborative work and team culture.

Working at the ICA

  • All ICA employees are required to reside in Massachusetts and within a reasonable commuting distance from our Seaport location as of their first day of work.
  • The ICA offers the flexibility of a hybrid work week, which averages two to three days a week onsite for employees who are eligible to work remotely (subject to change, and at managers discretion).

Responsibilities

Staff Engagement

  • Plan, implement, and administer an employee training and leadership development program including:
    • Research and identify training and learning opportunities for staff at all levels
    • Administer the review and procurement of training partners and programs, ensuring inclusion and equity.
    • Manage the scheduling and communication around training opportunities with supervisors and staff.
    • Conduct audits of training partners to ensure quality, appropriateness, and budget considerations.
    • Maintain records of activities, participant progress and program effectiveness.
  • Oversee the ICA’s cohort model of learning and institutional communications, working with the Senior Director of Equity and Culture to run triannual meetings of each group.
  • Create internal communications to ensure staff awareness of opportunities, benefits and learning resources.
  • Partner with the Chief of Staff and Governance on belonging initiatives and staff events.
  • Stay abreast of current trends and innovative tools and methods around employee growth and leadership development.
  • Other projects in partnership with Senior Director for Culture and Equity and Associate Director of HR

HR Administration & Support

  • Assist with the recruiting and hiring process, including scheduling interviews, tracking applicant and candidate process, and reference checks. Provide back up support for CORI check processing when needed.
  • Assist with new hire onboarding and orientations, and assist with off-boarding documentation and scheduling exit interviews.
  • Assist with new hire and annual performance review processes.
  • Serve as primary backup for payroll processing. Provide HRIS administration support to maintain accuracy of data and produce reports.
  • Coordinate internship program, to include communicating with prospective and current interns, partners and intern supervisors; facilitate learning opportunities for interns.

Qualifications

  • Bachelor’s degree in human resources, organizational development, business management, psychology, or related field and experience.
  • Prior experience designing, leading and implementing employee development and engagement programs preferred.
  • Exceptional attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Strong presentation skills.
  • Ability to design and implement effective training and development. 
  • Adept with a variety of multimedia training platforms and methods.
  • Ability to evaluate and research training options and alternatives.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Ability to work collegially, professionally and collaboratively with a diverse group of constituents including staff, Boards, artists, volunteers, visitors and vendors.
  • Must be proficient in Microsoft Office Suite.
  • Ability to occasionally work outside of the ICA’s business administrative hours, when necessary

Physical Requirements

  • Prolonged periods of remaining stationary such as when working on a computer.
  • Must be able to lift up to 15 pounds at a time.
  • Ability to move about in the office to access file cabinets, printer, and other office equipment.

The Institute of Contemporary Art seeks an Associate Registrar to join our Curatorial team. As a member of the registration team, and reporting to the Senior Registrar, the Associate Registrar works to organize and install exhibitions and touring-exhibition programs and assists the Senior Registrar in the management of the ICA’s collection and archive. The Associate Registrar will be responsible for a broad range of registration functions including organizing artwork transport and storage, completing documentation and budget projections, loan forms, and filing condition reports. While possessing the ability to work independently it is also critical to possess the ability to work in conjunction with a team. Schedule includes domestic and international travel, and some nights and weekend hours in conjunction with installations and loans.

    Responsibilities

    • Manage registration tasks for several exhibitions each year. Responsible for coordinating the packing and transport of all artwork in exhibition projects assigned. Maintains and generates necessary documents as requested, such as loan agreements, crate lists, insurance lists and packing reports, for incoming loans and exhibition tours. Completes condition and packing reports during installation periods.
    • Work within assigned budget, processing and filing registration documents, and assist Senior Registrar and Director of Exhibitions as needed.
    • Travel as requested and/or approved with touring exhibitions and act as a courier with ICA collection loans.
    • Assist the Senior Registrar as needed in the management and care and storage of the ICA’s permanent collection.
    • Maintain and organize exhibitions and collections records including TMS database updates as well as archiving appropriate materials at the close of an exhibition, in the ICA’s exhibition archive.
    • Perform administrative duties associated with registration, including contacting vendors for estimates, and ordering and organizing supplies.
    • Condition check objects on view and perform gallery maintenance on a regular schedule and as required and in conjunction with the Preparators and Facilities department. With the Senior Registrar, work with the Visitor Assistants to provide adequate security for the works on view. Prepare and organize stanchions or other protective mechanisms needed for objects on view.

    Qualifications

    • 3-5 years of registration or exhibition planning experience in a museum or art organization setting
    • Bachelor’s degree in relevant field such as Art History, Museum Studies, or equivalent experience; M.A. and/or Museum Studies certificate preferred.
    • Experience with fine arts packing, shipping, handling and condition reporting required.
    • Excellent organization, communication and computer skills are required; knowledge of TMS is desirable.
    • Must be flexible, able to multi task, work at a busy pace and well under pressure, and able to meet tight deadlines.
    • Must also be willing to work flexible hours and be on-call when necessary.
    • Willingness and ability to travel domestically and internationally.

    Physical Requirements

    • Possess mobility to work in an office setting and use office equipment; move about throughout the museum, and travel offsite to different locations
    • Ability to see, listen and talk for extended periods in person, over the telephone and computer, and understand printed materials; Ability to follow protocols in handling works of art with care
    • Fine motor skills, keen eyesight, and an ability to stand for long periods of time
    • Must be able to carry, lift and/or move at least 50 pounds

    The Staff Accountant’s duties include but are not limited to general ledger accounting, accounts payable, accounts receivable, cash reconciliation, revenue reconciliation, financial reporting functions, processing journal entries and preparing ad-hoc reports. This position reports to the Controller and works in a team environment.       Responsibilities

      • Process daily cash receipts and check deposits
      • Record, post and reconcile daily credit card sales including gift store, admissions, and contributed revenue
      • Maintain pledge receivables, fixed assets, cash accounts, liabilities and reconcile schedules to the general ledger
      • Maintain revenue schedules as assigned including sales tax, performance tax, credit card fees  
      • Prepare prepaid and accrued liability schedules monthly
      • Prepare and provide ad hoc reports as requested
      • Prepare and record monthly fixed and variable journal entries to the general ledger
      • Serve as primary back up for accounts payable processing and maintenance of vendor payment files
      • Maintain schedules for annual audit, budget tracking and financial projections
      • Prepare reports to reconcile the monthly, quarterly and annual contributed revenue with the Development team
      • Run and distribute monthly departmental revenue, expense reports and detailed general ledger reports
      • Assist with preparation for annual audit  
      • Support the Controller and CFO with various projects as assigned
      • Monitor accounting controls and procedures in accordance to GAAP
      • Other duties as assigned

      Qualifications

      • Bachelor degree in Accounting, Finance or Business Administration or 4 years related experience working with G/L systems 
      • Previous experience working in a cultural institution or non-profit organization is preferred
      • Knowledge of rules and guidelines regarding contributed revenue and experience with contributed revenue and performance ticket sales a plus.
      • Must be detailed oriented and exhibit a demonstrated ability to work with numbers
      • Excellent Microsoft Office Suite, Excel, Word, and PowerPoint skills are required
      • Possess knowledge of non-profit accounting principles and software packages (Concur, Financial Edge, Tessitura, ADP WorkForce Now) is preferred
      • Ability to work collegially, professionally and collaboratively with a diverse group of constituents including staff, and vendors
      • Ability to work independently and in a team environment
      • Must be able to communicate accounting principles to non-accounting professionals
