Position Title:             Marketing Assistant

    Position Status:         Full-time, fixed term, limited benefits (through June 2026)  

    Overview: The Marketing Assistant role supports and develops successful marketing campaigns and engagement of audiences for the ICA. Reporting to the Senior Marketing Manager, the Marketing Assistant supports the Marketing and Communications department in executing marketing campaigns, creating content, and analyzing performance metrics. This position contributes to the production of a variety of marketing materials, with a strong focus on building and supporting the website, email, and social media channels. This person is a team player who works cooperatively with departments across the museum to develop consistent, on-brand messaging and visual representations of the museum. Employing knowledge of contemporary art, the individual would utilize verbal, written, and visual communication to enhance the ICA’s marketing and communications to grow all segments of audiences.

    WORKING AT THE ICA: 

    1. All ICA employees are required to reside in Massachusetts and within commuting distance from our Seaport location as of the first day of work. 
    2. The ICA offers the flexibility of a hybrid work week, which averages three days a week onsite for employees who are eligible to work remotely (subject to change, and at managers discretion).

    Responsibilities:

    • Assist with the day-to-day activities within the department to successfully advance the ICA’s marketing and communications strategy and goals
    • Assist in the development and execution of multi-platform marketing campaigns for exhibitions, events, educational programs, ICA Store, and other institutional initiatives, including copy and asset generation, ensuring content is on brand and in ICA style
    • Help build events and content on icaboston.org and assist with general web content maintenance
    • Plan, format, and execute ICA eNews to support the overall marketing strategy for exhibitions, programs, membership, and other initiatives.
    • Assist Senior Marketing Manager with list maintenance and reporting in CRM (Tessitura) and ESP (Wordfly)
    • Upload ICA events to ArtsBoston calendar, the Boston Calendar, and other online listings per institutional and marketing priorities
    • Assist with monthly First Friday events, press previews, photoshoots, and other events as required
    • Assist in marketing asset organization and upkeep, including writing alt-text and selecting “best-of” images
    • Assist Marketing Associate with brainstorming, ideating, and developing compelling branded social media content, both videos and traditional posts, to further engagement and institutional goals and priorities
    • Capture video footage at the museum (onsite) for social media, collaborating with the Marketing Associate and Director of Communications for usage
    • Produce and edit vertical video content for social media
    • Upload content to Bloomberg Connects, YouTube, and other digital platforms as needed
    • Support the Senior Marketing Manager and Marketing Associate in tracking and analyzing the performance of marketing campaigns and social media activities, providing reports and recommendations for improvement.
    • Process departmental credit card bills, invoices, maintain budget tracking spreadsheet, and binder.  
    • Support the Chief Communications and Marketing Officer with administrative tasks and other duties as needed.
    • Other tasks may be assigned

    Qualifications:

    • Must have exceptional communication (oral and written) skills, social media fluency, attention to detail, and creative thinking
    • Video editing and basic graphic design experience required
    • Demonstrated computer skills and experience using MS Office suite, Word, PowerPoint, Excel, and Adobe Premiere (or equivalent)
    • Exceptional communication (oral and written), organizational, and interpersonal skills, and attention to detail
    • Ability to work independently and within a team environment
    • Strong interest in marketing, museums, and contemporary art
    • Ability to work collegially, professionally, and collaboratively with a diverse group of constituents, including staff, visitors, and vendors
    • Some nights or weekends may be required

    Physical Requirements:

    • Prolonged periods of remaining stationary working on a computer, standing and/or moving about the office, museum and other locations.
    • Ability to move about in the office to access files, printers, etc.
    • Ability to lift up to 15 pounds, pushing and pulling, keyboarding and gripping
    • Must be able to exchange accurate information with staff, departments, and vendors.
    • Ability to see, listen and talk for extended periods in person, over the telephone and computer, and understand printed materials

    Starting Salary: $46,000.00 Annual

    Starting compensation is based on meeting minimum qualifications.

    The position’s grade and respective compensation range is determined by the position’s overall responsibilities, including decision making, supervisory/management requirements, resource management and budgeting duties.

    Compensation is ultimately determined by the scope of the position and responsibilities, the candidate’s relevant experience, and internal equity, with starting salaries typically falling in the lower half of the compensation range.

    Position Title: Helpdesk Analyst 

    Department: Information Technology  

    Reports to: Director of IT Operations & Strategy 

    Position Status: Full Time, Salary Exempt, At Will 

    Overview: The Helpdesk Analyst is responsible for providing front line support and response for all end-user support requests. This position is responsible for the management of the IT ticket queue, including dispatching tickets to second tier support and vendors, managing moves, addition and deletion of users, imaging and deployment of user devices; providing on-time training for end users, in addition to other IT projects and tasks. The position reports to the Director of IT Operations and Strategy and works collaboratively and autonomously. Occasional nights and weekend work may be required to support the IT infrastructure of the ICA.

    Responsibilities: 

    • Provide front line management and resolution of trouble tickets submitted by end users or tickets generated internally from the IT team including cross platform Windows and Mac – support for MS Office, file and print access, application access, presentation support etc. 
    • Maintain detailed service records in the ticketing system to document end user issues and resolution and/or escalation details. 
    • Provide onboarding and off-boarding of staff and other individuals including user IDs, mailboxes, phone profiles, SharePoint and Microsoft Teams. 
    • Provide just in time training and support for end users as needed. 
    • Manage device inventory, in addition to imaging of devices and management of end user software portfolio. 
    • Manage software updates and mass software deployments. 
    • Maintain and continually update IT documentation related to frontline support including but not limited to new employee onboarding documents, frequently asked questions and how-to instructions to facilitate ease of access and use of ICA technology. 
    • Assist with maintaining local network (switches, VLANs, cable plant, VMWare infrastructure) and wide-area communication networks and maintenance and configuration of firewall to ensure reliable and secure network access for business applications. 
    • Participate in project management of large deployments and upgrades; contribute to defining departmental direction and prioritizing long term projects. 

    Qualifications: 

    • A minimum of two years’ experience in a frontline IT support role in a multiplatform environment particularly Windows and Mac in a professional organization, ideally in a nonprofit, cultural or public facing institution. 
    • A Bachelor’s degree preferably in a technology related area, or an Associate’s degree in a technology related area plus equivalent work experience or an equivalent mix of applicable certifications and work experience. 
    • A demonstrated ability to work collaboratively and independently. 
    • Ability to communicate and present information in a clear and concise manner; excellent verbal and written communication skills  
    • Ability to problem solve through analysis of issues and use of critical thinking  
    • Ability to handle and maintain sensitive and confidential information with a high degree of professionalism and discretion. 
    • Commitment to working with a diverse constituent base 
    • Must be able to work odd hours and be on call after work hours and weekends as needed. 

    Physical Requirements:

    • On occasion, you may need to lift up to 30lbs and/or get on a ladder with the ability to utilize a range of motions overhead.
