The Events Coordinator, under the direction of the Director of Events, is responsible for supporting the coordination, planning, and execution for a wide variety of events for the institution at the ICA’s Seaport and Watershed locations. The Events Coordinator will also collaborate on select external co-hosted events. This position is required to be present at all events, which includes evening and weekend hours. This is a full-time, salaried position.

Responsibilities:

  • Assist in the organization of the ICA’s general calendar of events
  • Participate in the planning and execution of a portfolio of donor and member events, including but not limited to, the ICA Gala, Women’s Luncheon, exhibition openings, private donor events, member parties, lecture receptions, and ICA Watershed Community Events
  • Assist the Director of Events with event design, including but not limited to the execution of basic floor plans, the selection and management of rental furniture, and ordering floral and/or additional décor as needed
  • Work with the Director of Events on additional donor, social programming, community partner events, holiday promotions and ICA Wine + Coffee Bar events, as opportunities arise
  • Assist with all planning, staffing, and logistics for First Fridays, a long-standing, monthly event series, taking place the first Friday of every month (with exception of January)
  • Manage the invitation and RSVP process for all events
  • Prepare letters of agreement with outside vendors and process invoices
  • Assist in tracking departmental budgets and expenses as related to event production
  • Develop strong working relationships with ICA staff across departments

Qualifications:

  • 1-3 years of experience in events related positions
  • Proficiency with Microsoft Office Suite (Word and Excel, PowerPoint, Publisher)
  • Strong professional interpersonal, verbal, and written communication skills with a proven ability to communicate clearly, effectively, and persuasively
  • Ability to problem solve; detail-oriented, with the ability to manage multiple projects and deadlines
  • Ability to be collaborative, use good judgement, and maintain a high level of discretion and donor confidentiality
  • Interest in contemporary art
  • Some evening and weekend work required

  • Prolonged periods of remaining stationary such as working on a computer and speaking on the phone

The Visitor Services Supervisor, reporting to the Visitor Services Manager, is responsible for providing oversight and support to the Visitor Services team. The role involves supervision of Visitor Services staff, serving as the onsite point-person for customer service as related to the Visitor Services department, assisting with Tessitura ticketing operations, and contributing to data and sales reporting. The Visitor Services Supervisor must be available to work evenings, weekends, holidays, and performances/special events. This full-time, hourly position is required to work onsite.

Responsibilities:

Supervisory

  • Provide daily onsite supervision to the Visitor Services staff to ensure assigned tasks are completed on time and appropriately, and guidelines and protocol are being followed at all times, as set forth by the Visitor Services Manager. In absence of Visitor Services Manager, handle any VSA corrective actions needed regarding customer service and or enforcement of guidelines and policies. Document staff incidents to Visitor Services Manager.
  • Act as a resource and guide for the Visitor Services team in customer service matters as they relate to the Visitor Services department
  • Assist Visitor Services Manager with hiring and onboarding new VSA staff; assist in interviews, training, coaching and onboarding
  • Provide ad hoc coaching to Visitor Services Associates in accordance with ICA and Visitor Services Handbooks and ICA Quality of Service Training
  • Maintain resource guides for Visitor Services staff to maintain well informed & working knowledge of exhibitions, programs, and schedule of events to provide to visitors
  • Assist Visitor Services Manager with in-the-moment scheduling needs to ensure appropriate coverage; manage daily schedule and attendance to include callouts, shift coverage, tardiness
  • Assist the Visitor Services Manager in planning and presenting at regular Visitor Services staff meetings; assist in ensuring staff are knowledgeable on and following institutional policies and procedures and participating in organizational meetings, trainings, and events
  • Regularly meet with Visitor Services Manager to provide feedback on staff performance and attendance
  • Collaborate with security and gallery staff in-the-moment to ensure visitor safety and ICA museum property at all times
  • Assist Visitor Services Manager with box office operations as assigned
  • Assist Visitor Services Manager with administrative tasks as assigned

Customer Service

  • Ensure Visitor Services staff is adhering to the ICA’s Quality of Service Training by acting as a resource on best practices and providing ongoing coaching and guidance to staff
  • Assist in managing the daily operations for admissions and box office with high emphasis on customer service, organization, and efficiency, ensuring all visitors are attended to professionally and promptly
  • Maintain a well-informed and working knowledge of exhibitions, programs, and schedule of events
  • Assist with facilitating crowd control during busy museum periods and special events
  • Manage inventory and distribution of printed materials at the Visitor Services desk
  • Provide Director of Visitor Operations with visitor feedback through regular manager/supervisor meetings

Tessitura

  • Maintain Tessitura performance builds for regular and recurring events and performances as directed by the Visitor Services Manager
  • Assist Visitor Services Manager with TNEW maintenance as needed
  • Process library memberships as assigned
  • Troubleshoot technical issues with Tessitura in the moment

Onsite Membership

  • Provide support to the VSA team members for onsite membership sales. Act as a resource for Visitor Services team for questions or issues regarding onsite memberships
  • Meet regularly with Visitor Services Manager to share feedback on onsite membership sales and processes
  • Assist the Membership department with administrative support and data entry as needed

Financial

  • Manage daily cash deposits and keep visitor services desk stocked with required cash for change when manager not on site
  • Track visitor attendance

Qualifications:

  • Possess the ability to supervise the operations and staffing of a public space
  • Strong customer service and communication skills
  • Possess the ability to remain calm under pressure, use good judgement, and respond effectively to visitor and staff concerns

Responsibilities:

Recruitment & Onboarding

  • Assist with the recruiting and hiring process by working closely with hiring managers actively to post openings externally to attract a strong and diverse applicant pool, assist hiring managers with the selection of candidates, interviewing, scheduling and reference-checking process, and maintaining frequent communication with applicants
  • Administer the new hire onboarding process including orientations and logistics, providing feedback for continuous improvement
  • Administer CORI check processing

Benefits Administration, HR Compliance and Reporting

  • Responsible for administration of benefits (including enrollments, changes, terminations, invoice reconciliation) for benefits programs including medical, dental, vision, life, and disability insurance; flexible spending accounts; employee assistance program (EAP); and 403(b) retirement plan; Participate in benefit audits and reporting; Assist with benefits open enrollment processes

  • Administer and track annual performance review process and new hire 90-day review
  • Serve as first line of contact to employees to answer questions on ICA policies, procedures, and benefits. Reinforce the organization’s policies, rules, and procedures to ensure employees’ awareness and wellbeing. Provide an open line of communication for employees via email, phone, slack, Teams, and/or in person; refer complex and/or sensitive matters to the appropriate HR team member.
  • Schedule, conduct, and analyze exit interviews and make actionable recommendations based on data
  • Maintain compliance with federal, state, and local employment laws and regulations, and recommended best practices; Assists with communicating policies and practices to maintain compliance

Training + Development

  • Coordinate internship program, to include communicating with prospective and current interns and intern supervisors and facilitating learning opportunities for interns
  • Review, track, and document compliance with mandatory and non-mandatory training, continuing education, and work assessments, collaborate with staff and managers to obtain accurate and pertinent information. Trainings may include safety training, anti-harassment training, professional licensure, and certifications
  • Collaborating with the Sr. Director for Culture + Equity, assist with the development of wellness, equity and belonging initiatives to deploy to ICA staff
  • Recommend training topics to Sr. Director for Culture + Equity based on staff feedback to enhance the employee experience, professional development, and ICA work culture. Assist with arranging and hosting events, training, and workshops onsite and virtually

Qualifications:

Education and Experience

The Institute of Contemporary Art strives to share the pleasures of reflection, inspiration, provocation, and imagination that contemporary art offers through public access to art, artists, and the creative process. The Studio Programs Assistants (SPAs) will work within the Education department as needed to support and implement public studio programs and events. SPAs will prepare and facilitate workshops, activities, and events at the ICA, such as the ICA’s Play Date program for youth and families. SPAs hold a regular schedule on Saturdays or Sundays and may work additional shifts that correspond to events and programs at the ICA, such as vacation weeks and Monday holidays. Hiring is contingent on passing a CORI screening.


The Studio Programs Assistant contributes to a culture of collaboration, community and respect while embodying the principles of ICA’s Quality of Service and centers the work of Diversity, Equity, Accessibility, Inclusion, and Belonging in all areas of their work. This is a part-time, hourly position with hours specific to events and program schedules.

Responsibilities:

  • Work with ICA Education staff to prepare and implement studio programs for a range of audiences
  • Facilitate and lead art-making workshops and activities
  • Support visitors of all ages in their art-making; lead art making experiences that are inclusive and developmentally-appropriate
  • Maintain studio spaces and ensure that materials are accessible, frequently replenished, well organized, and presentable
  • Maintain knowledge of related artists and artworks; foster connections with works on view at the ICA
  • Work with ICA Education staff to collect and update data on studio programming

Qualifications:

  • Strong interpersonal skills; background working with family and youth audiences, a plus
  • Experience or demonstrated interest teaching studio-based lessons and workshops in visual arts to a range of audiences
  • Knowledge of studio art media, materials, and processes
  • Strong organizational skills; penchant for maintaining well-organized studio spaces
  • Ability to identify, react to, and resolve visitor-related issues in the moment with professionalism and tact

The ICA Visitor Assistants are reliable, strong customer service oriented individuals who combine the responsibilities of gallery safeguarding with museum information and exhibition interpretation. Visitor Assistants are responsible for overseeing the gallery spaces and protecting the art while ensuring a positive museum experience by providing exemplary customer service and education. The Visitor Assistant will have the opportunity to work as a key member of an education-oriented, visitor-centered staff. This is an exciting opportunity to contribute meaningfully to the visitors’ experience of ICA exhibitions. This is a part-time, hourly position.

  • Serve as a liaison to visitors while promoting safety of the museum, communicate clearly and consistently with visitors to ensure a positive museum experience while facilitating safe and engaging interactions with artwork
  • Remain informed and up-to-date of artwork on view, enhance visitor experience through interpretation and engaging inquiry based conversation
  • Monitor visitors in gallery areas to provide smooth flow of visitation, prioritize artwork and visitor safety during regular museum hours, onsite programs, and special events
  • Enforce museum guidelines in a clear and friendly manner
  • Work in conjunction with gallery supervisors and security to respond to emergency situations
  • Assist with use of educational resources and spaces and promote programs when applicable
  • Assist in maintaining inventory of brochures, literature, and gallery resources for the public
  • Engage with visitors to answer questions and resolve concerns, partner with gallery supervisors to share feedback and resolve visitor experience concerns
  • Report artwork incidents to gallery supervisors
  • Contribute to regular educational gallery programming, such as Pop-Up Talks and weekend family book readings
  • Attend staff exhibition trainings, museum-wide trainings, all staff, and education department meetings as able
  • Additional duties as directed by management

Qualifications

  • Six months or more customer service experience required, preferably in retail, hospitality, or cultural organizations
  • Ability to work under pressure in a fast-paced and diverse environment
  • Experience with contemporary art, public speaking, and museum education a plus
  • Experience with safety protocols is a plus
  • Ability to be assertive if needed to enforce museum guidelines
  • Solid interpersonal, problem solving, and communication skills

Under the supervision of the Chief Preparator, the Installer works with Preparators, Registrars, and Curators in packing artwork for shipping and storage, loading artwork and materials in and out of the facility, preparing the galleries for exhibition, constructing exhibition furniture and elements, performing wall preparation and installing lighting, and maintaining artwork. The installer may be asked to work on other tasks as needed related to equipment storage, materials inventory and shop maintenance. This is a seasonal, hourly position.

Responsibilities:

  • Preparation of galleries for exhibitions including demolition and rebuilding of walls, patching, repairing, and painting of the space
  • Use of professional art handling and installation methods
  • Maintenance of exhibition galleries and artwork
  • Maintenance of technical elements in exhibitions
  • Lighting exhibitions
  • Production and fabrication of display furniture and exhibition materials
  • Packing, crating, and moving artwork to a high professional standard
  • Fabrication and installation of exhibition graphics
  • Maintenance of ICA workshop

Qualifications:

  • Experience handling artwork in a variety of media
  • Understanding of the fundamentals of art handling procedures
  • Basic working knowledge of tools and materials
  • Basic working knowledge of audio/visual equipment
  • Ability to take direction, follow instructions, and work as part of a team

Physical Requirements:

  • Requires routine handling of heavy and delicate materials and objects
  • Must be able to lift 40 pounds over head and be able to work on ladders and mechanical lifts
  • Installations periods may require extended work hours and 7 day work weeks

Each ICA position has a job grade based on the position’s evaluated job responsibilities, required education and experience, needed skills to perform the job, and professional knowledge.

The position’s grade and respective compensation range is determined by the position’s overall responsibilities, including decision making, supervisory/management requirements, resource management and budgeting duties. Compensation is ultimately determined by the scope of the position and responsibilities, the candidate’s relevant experience, and internal equity, with starting salaries typically falling in the lower half of the compensation range.

The Visitor Services Associate (seasonal) will provide exceptional customer service to all visitors to the ICA. The ideal candidate will welcome visitors and provide information about the museum, sell general admission, events and theater performance tickets, as well as promote and sell memberships on-site, perform cashiering, cash-handling, and other daily tasks.

The Visitor Services Associate (seasonal) contributes to a culture of collaboration, community and respect while embodying the principles of ICA’s Quality of Service and centers the work of Diversity, Equity, Accessibility, Inclusion, and Belonging in all areas of their work.

This is a part-time, hourly position lasting from January 14, 2025 – March 16, 2025. Evenings, weekends, and holiday availability required.

Responsibilities:

  • Present a friendly and enthusiastic attitude and represent the ICA in a positive and professional manner while selling and process general admission, event, and performance tickets
  • Actively promote and sell ICA Memberships; assist with on-site membership processing
  • Provide general information and respond to visitors’ requests for museum information about the facilities, fees, membership information, and other inquiries in order to assist visitors in their use and enjoyment of the ICA
  • Perform all opening and closing responsibilities and tasks related to admissions and box office
  • Prepare and process group visits and tours, keep informed of exhibitions and events
  • Maintain a neat, organized, and stocked work space
  • Respond to phone calls and email inquiries and forward to applicable departments when necessary
  • Engage in visitor feedback and resolve visitor complaints including processing refunds as needed
  • Control and direct crowds in lobby
  • Access safe, set up cash drawers, and make change at open
  • Assume responsibility for all transactions during shift; return cash drawers and bank change to safe at close, go to bank for change as needed
  • Follow and enforce guidelines, policies, and procedures set forth by the ICA and the Associate Director of Visitor Services
  • Attend quarterly staff meetings
  • Rotate as shift leader as assigned to lead daily tasks and handle opening and closing duties as scheduled
  • Communicate with gallery and security supervisors when required
  • Assist with troubleshooting technical issues and Tessitura operations
  • Complete daily tasks as assigned by shift leader
  • Process donation requests, run event sales reports, and log museum attendance
  • Other duties as assigned

Qualifications:

  • Exceptional customer service and communication skills
  • Possess the ability to remain calm under pressure, use good judgement, and respond effectively to visitor concerns
  • A self-starting attitude with the initiative to keep oneself informed and on-task
  • Ability to work well both with a team and independently
  • Possess the ability to troubleshoot issues and respond effectively during high-volume times
  • Must be reliable, punctual and honest, with a team player attitude
  • Ability to work collegially, professionally, and collaboratively with a diverse group of constituents including staff, visitors, and vendors
  • Provide a high level of customer service to visitors
  • Availability to work 15 flexible hours per week, including evening, weekend shifts, and holidays
  • Must be available to work January 14 – March 16, 2025

Physical Requirements:

  • Ability to lift up to 15 pounds, pushing and pulling, keyboarding and gripping
